What we build

Four things, done properly.

Who it is for

Built for organisations that answer to their community.

Data sovereignty

Your data never sits in our cloud.

We do not have one. Every system runs in an account your organisation owns, so sovereignty is a fact of the architecture rather than a line in a contract.

How that works
Noshared database with other organisations
Noper seat licence to add your board
Noexit fee, ever, because there is no exit

Compare us

The difference is who holds the keys.

Most community data platforms are a shared product you rent a seat in. This is a system you own. That one structural difference drives nearly everything else.

A shared platform

  • Your data sits in a vendor's cloud, under their terms
  • Every extra person who needs to look costs more
  • Stop paying and you stop having access
  • Sovereignty is a settings screen inside their product

A DataBytes AI build

  • Your data sits in an account only you control
  • Add your whole board and it costs nothing extra
  • No fee to us just to keep access to your own records
  • Sovereignty is a fact of where the servers are

We also compare honestly against Microsoft consultancies, off the shelf survey tools, and simply hiring an analyst, including where they beat us. See all four comparisons →

Security

Locked down, and honest about it.

The platform we deploy is built to the Australian Cyber Security Centre's Essential Eight at Maturity Level 1, the proportionate baseline for an organisation this size. Self assessed, not independently audited, and scoped to what we build — your organisation's overall maturity also depends on endpoints and the rest of your ICT environment.

What that covers, and what it does not →

Multi factor sign on, role based access
Production data and backups held in Australia, in your account
Automated backups, rebuildable from code
Audit trail of who created, changed or deleted a record

The questions people actually ask

Short answers. Honest ones.

What does it cost?

It depends on what you have and what you need, so there is no price list that would be true for you. Discovery is short and gives you a scoped, written quote before any build work starts. More on pricing.

What kind of reports and dashboards can you build?

Live dashboards of whatever your data holds: outcomes, service volumes, participant numbers, financials. Scheduled reports that generate and email themselves, so board packs stop being a manual rebuild. The honest constraint is not the dashboard: if an indicator is not captured properly at the source, no reporting layer can invent it. More.

How does field data collection work?

Staff fill in forms on a phone or tablet, wherever the work actually happens. Submissions land straight in your database, so nothing gets written on paper and re-keyed later. Forms can include photos, GPS and logic that skips questions that do not apply, and they sync automatically. More.

Can AI work without our data going anywhere?

Yes. An open source model can run entirely on your own infrastructure, so documents and questions never leave your systems. It costs more to host and is less capable than the largest cloud models. Both are real options and we will be straight with you about the trade off. The detail.

Who owns it when you are finished?

You do, completely. Your own cloud account, open and source-available tools with no per-seat licence, all credentials handed over. There is nothing to keep paying us for, and nothing stopping you moving to another provider. The detail.

How secure is it, really?

The platform we deploy is built to Essential Eight Maturity Level 1: multi factor sign on, role based access, version controlled infrastructure, automated backups, production data and backups held in Australia. Self assessed, not independently audited, and there is no 24/7 monitoring desk behind it. Your organisation's overall Essential Eight maturity also depends on endpoints, identity management and the rest of your ICT environment, which sit outside what we deploy. If your funder requires certified round the clock monitoring, that is a real gap and we will say so. The detail.
