What this involves
We index your organisation's own documents, such as policies, past reports, correspondence and research outputs, into a searchable system that understands meaning rather than just keywords, so staff can ask plain language questions and get answers drawn directly from your material.
These tools are deliberately scoped and grounded. Answers are drawn from your verified documents rather than the open internet, source references are shown alongside any summary, and access boundaries mirror your existing permissions so sensitive material stays restricted.
We are upfront about where AI tools are a good fit and where they are not. Search, summarisation and drafting assistance are strong use cases. Anything involving high stakes or irreversible decisions is designed to keep a person firmly in the loop.
A fully private option
Some organisations, particularly those handling culturally sensitive or community owned information, do not want any data sent to an outside AI provider at all, even a reputable one. This is a genuine option with our architecture, not a bolt on. Instead of calling an external AI service over the internet, the same underlying database can run an open source language model directly on infrastructure your organisation controls, so document content and queries never leave your system.
The trade off is honest and worth knowing upfront. A fully private, self hosted model typically needs more computing power than a cloud hosted one, which means a higher hosting cost, and the largest cloud hosted models are currently more capable at complex reasoning than what can realistically run on site. For many organisations, a private model is more than capable for search, summarisation and drafting, and the added control is worth the extra cost. We will talk through both options honestly and help you choose based on what your organisation is comfortable with, rather than defaulting to whichever is easiest for us to set up.

What this does not do.
AI search is useful within a fairly narrow band. Being specific about where that band ends is more useful to you than a longer list of capabilities.
Where it works well
- Finding and summarising material that already exists in your documents
- Answering with citations, so every claim can be traced to a source
- Respecting your existing permissions, so it only surfaces what a person is already allowed to see
- Drafting support, where a person reviews before anything is used
Where it does not
- It is not a replacement for legal, clinical or cultural authority review, and should never be treated as one
- It works best when documents are already reasonably organised. It cannot impose order on material that has none
- It reflects what is in your documents, including anything out of date or wrong in them
- A self hosted model costs more to run and is less capable at complex reasoning than the largest cloud hosted models
- It does not remove the need for human governance over how answers get used
On the first point in particular: where information carries cultural authority, the question of who may speak to it is a governance matter for your community, not something a search tool can or should arbitrate. We design these systems to route around that question, never to answer it.
